Using Email Encryption in Outlook 365

Anytime you send emails to recipients outside of the organization with protected Health Information (PHI), you should always encrypt the message. Below are instructions for using the Outlook 365 Encryption that allows you to encrypt your emails.
1. Select “Options” button on your toolbar.

2. Select “Encrypt” button. You can click on the lock to encrypt the email with standard encryption.
Clicking the arrow will give you additional options.

3. These options do not add any extra security; they are basically flags on the email like you might flag an email as “Important”.
4. Once you have selected encryption, you will see the following banner message (with your email address) confirming the message will be encrypted:

5. Your recipient’s experience will depend on their email system. If they do not use Office 365 as their email system, they will receive a message similar to the one they should be used to seeing with Barracuda:

6. If they do use Office 365, the encryption should be integrated into their system. They will receive your email like normal in their inbox, but it will have a small padlock icon:
